UAE e-invoicing readiness checklist for SMEs

Work backwards from 31 March 2027. Confirm your VAT and TRN details, clean master data, check what your accounting software supports, shortlist and appoint a provider, test in the voluntary window from July 2026, then train the people who issue invoices.

Now: confirm where you stand

  • ·Write down your annual turnover and confirm which phase applies.
  • ·Check your VAT registration and TRN are current and correctly spelled everywhere they appear.
  • ·List every system that issues an invoice — including the spreadsheet somebody in sales uses.
  • ·Count monthly invoice volume; it determines both cost and how fast penalties would accumulate.

Next: clean the data

  • ·Deduplicate customers and suppliers.
  • ·Collect and validate customer TRNs; an invoice with a wrong TRN will be rejected.
  • ·Standardise tax codes and make sure every item maps to one.
  • ·Fix legal entity names and addresses to match trade licence records.

By mid-2026: choose your route

  • ·Ask your accounting software vendor what they support and when.
  • ·Shortlist two or three Accredited Service Providers with a connector for that software.
  • ·Agree internally who owns rejections day to day.

From 1 July 2026: test in the pilot

  • ·Send real-shaped test invoices, including a credit note and a self-billed document if you use them.
  • ·Deliberately send a bad one and read the rejection message.
  • ·Time how long it takes your team to notice and fix a rejection.

By 31 March 2027: appoint and sign

  • ·Contract with your chosen provider — this deadline is separate from go-live.
  • ·Confirm inbound supplier invoices are handled, not only outbound.
  • ·Document the process so it survives a staff change.

By 1 July 2027: go live

  • ·Stop treating the PDF as the deliverable.
  • ·Watch acknowledgement rates daily for the first month.
  • ·Keep evidence: transmission receipts and FTA acknowledgements are your audit trail.
